Switch from your register

Bring the register.
Leave the data entry.

The reason operators stay on paper is not loyalty, it is the fear of a two-week typing job. Import takes what you already have, in whatever shape it is in, and tells you what needs a second look.

What we can read

Three ways in, none of them clean

We have yet to see a tidy subscriber list. Import expects mixed column names, merged cells, amounts written in words and names spelled three ways.

Excel or CSV

Any column order. We detect name, mobile, plan, amount, due date, address or lane, and set-top box or router serial wherever they appear, and show you the mapping before anything is saved.

  • .xlsx, .xls and .csv
  • Multiple sheets, one per area, read together
  • Hindi or regional column headings understood

Photographs of register pages

Shoot the pages in daylight, upload them in order, and the rows are read out and put in front of you for confirmation. This is the usual route for operators who never kept a soft copy.

  • Ruled registers and handwritten ledgers
  • Row by row confirmation before saving
  • Pages kept against the import for reference

Export from existing software

Most billing tools can export a subscriber CSV. If yours can, that is the cleanest start, because plans and due dates usually come across intact.

  • Subscriber master, plan master and dues
  • Outstanding balances carried forward
  • Old invoice numbers kept as a reference field
The cleanup checklist

Fix the five that matter, ignore the rest

You do not need a perfect list to start collecting. The checklist is ordered by what actually blocks money, so an operator can go live with the first two done and come back to the others later.

1Mobile numbers. No number means no reminder. This is the only field worth chasing before the first run.
2Amounts. Confirm the monthly figure against your plan sheet. Odd amounts are kept as custom, not forced into a plan.
3Duplicates. Two rows for one home, or one number across a family. You decide which is which.
4Lanes. Needed for agent routes, not for reminders. Agents can fill these in as they walk.
5Deposits and serials. Worth doing before your next disconnection, not before your next collection.

Questions

About moving across

How long does an import actually take?

A clean Excel sheet of a thousand names is read in a few minutes, and the review is the slow part - usually under an hour. Register photographs take longer because every row is confirmed by you before it is saved.

Can I run Exrecharge alongside my old system for a month?

Yes, and plenty of operators do. Use Exrecharge for reminders and collection while invoicing stays where it is, then move invoicing across once you trust the figures.

What if my register has outstanding balances from previous months?

Bring them in as opening balances against each connection. Reminders then show the full outstanding figure rather than just this month's amount.

Can I get my data back out?

At any time, in full, as a spreadsheet - subscribers, plans, payments and invoices. The list is yours and there is no exit charge for taking it.

Import your list this week and the 25th run goes out on its own. Most operators are live on the same day they upload, because the register is the only thing we need from you.
